Use images in a planner

Give every image in the planner an editorial purpose, a deliberate crop and an appropriate text alternative.

Practical publishing guidance based on Megal Publisher’s documented page, text, image, table, review and output tools.

Practical workflow

Work through the publication in a fixed order

Separate content, structure and proofing decisions so a late correction does not undo earlier work.

Give every image a job

Keep decorative imagery away from writing zones and use it consistently across section or month dividers. Classify each proposed image as identification, explanation, evidence, navigation or atmosphere. If two pictures perform the same job, choose the stronger one. This keeps the image plan connected to the objective to provide repeatable writing spaces with a clear rhythm and enough room for real entries, rather than using pictures only to fill available boxes.

Prepare the source before placement

Start with the best legally usable source available. Avoid enlarging a small web image for print. Check orientation, colour, visible artefacts and whether important content sits too close to the crop edge. Keep the original file outside the publication so replacement and recropping remain possible.

Crop within a deliberate frame

Test the page with realistic handwriting or typed entries before repeating it, and keep recurring fields in stable positions. In Megal Publisher, an image frame can be resized while its picture is cropped and positioned inside it. Establish the frame in the grid first, then choose the crop. When several pictures have the same role, use consistent ratios and alignment. Review rotated or shaped images carefully because their visible boundary may differ from the rectangular frame.

Caption and describe useful imagery

A caption should add identity, time, place, explanation or credit. Informative images also need concise alt text describing their purpose; decorative images do not need a redundant description. Use meaningful labels, adequate contrast for rules and a logical order for people completing a digital version.. Before output, inspect important images at 100 percent and check that no text has accidentally been flattened into an image.

Use before sign-off

A short working checklist

Image and layout checklist

  1. Each image has a defined editorial purpose.
  2. Permission, credit and source quality have been checked.
  3. Crops preserve the subject and remain consistent across related frames.
  4. Important wording remains live text rather than image pixels.
  5. Informative pictures have useful alt text and captions where needed.
  6. The final PDF has been inspected for crop, transparency and resolution changes.
Keep the source and proof together. Megal Publisher can keep the page objects editable in an .mpub project. Preserve the source facts and the approved output as separate records so later changes can be checked.
